Wedding Day Management

Wedding Day Management is wedding coordination designed for couples who need assistance during the last three months of their wedding planning (the busiest time) and day or wedding coordination. Our wedding planner will assist you in completing the event design that compliments your vision and budget and create the timelines to ensure everything runs smoothly.

Wedding Day Management & Day of Wedding Coordination

Wedding Day Management Includes:

No earlier than 90 days prior to event Date: This plan includes: Initial Meeting and Three (3) personal meetings with our wedding coordinator whether in person, via telephone, Skype, or FaceTime and unlimited e-mailing (entire planning process, all calls will be scheduled in advance and are based on availability) Meetings Include: 


1. One consultation meeting (up to two hours) to go through your details and contracts. 


2. Detail Meeting ~ finalize details (approximately 30 days prior to Event)  This meeting should take place with the Caterer or Venue Manager

  • Finalize grand itinerary/timelines
  • Finalize ceremony walking order and first-row placement
  • Final review of all vendors and their contracting
  • Finalize transportation needs and favor gifts


3. Wrap-Up Meeting with Bride and Groom the week of the event to review the itinerary and last minute details. 


Wedding Coordination Services: 

  • Ongoing communication with consultant via email 
  • Vendor Referrals if needed  
  • Expert advice on etiquette (throughout the remainder of your planning)  
  • Escort Card, Menu Card, Food Labels and Program Guidance  
  • Review all existing vendor contracts  
  • Final review of details with Caterer or Venue  
  • Final vendor information package (e-mailed to ‘all’ vendors 10 days prior to event)  
  • Final vendor contact by coordinator (to review & confirm all details pertaining to them)  
  • Detailed Wedding Day Schedule, Ceremony Outline and Detailed Reception Timeline  
  • Vendor confirmation and coordination for the day of the wedding  
  • Onsite Rehearsal Direction (up to one hour)  
  • Inventorying and collection of ‘all’ wedding accessory items at rehearsal  
  • Wedding Day Emergency Kit (with anything you should need on your wedding day)  
  • One consultant on wedding day for up to 10 hours (additional hours available at hourly rate. Assistant available at $25 per hour. Should the ceremony and reception take place at two different locations, an assistant is required.)  

Wedding Day Services: 

  • Detailed Wedding Day Schedule, Ceremony Outline and Detailed Reception Timeline
  • Coordinator ‘on site’ by your side… arriving at your bridal suite  
  • Guidance through your entire day keeping you on schedule  
  • At your service’ attention for you, your family and wedding party members  
  • Onsite Ceremony Direction  
  • Set up programs and other ceremony items ex/ guest book, unity candles  
  • Ensure that ushers/groomsmen arrive on time   
  • Ensure greeters are ready to pass out programs  
  • Ensure that personal flowers have arrived at ceremony location, pin on boutonnieres and corsages  
  • Alert ushers/groomsmen as to when to begin escorting guests to their seats   
  • Handle any emergencies that may arise  
  • Line up the wedding party for their entrances down the aisle  
  • Cue ceremony musicians and photographer when bridal party is ready to begin the processional  
  • Ensure vendors arrive for breakdown of ceremony   
  • Greet photographer and ensure that photography runs on time  
  • Receive ‘all’ personal flowers, organize and disperse  
  • Directing and supervising all vendors during set-up  
  • Ensuring ‘all’ vendors are fulfilling their contract obligations  
  • Oversee implementation of design & décor for wedding & Reception  
  • Setting and placement of all wedding accessory items, such as: programs, guest book, seating cards, cake servers, toast glasses etc. Does not include decorating.  
  • Issue last minute payments and gratuities from client to vendors  
  • Ensure the guests are properly routed to the cocktail reception  
  • Ensure photography resumes timely and smoothly  
  • Ensure that servers greet you with Hors d’Oeuvres and Cocktails after ceremony (if desired)  
  • Ensure that all florals and decor are transferred to reception  
  • Ensure all gifts are carted to the proper suite, room or vehicle for security  
  • Assist your Maid of Honor in bustling your gown  
  • Ensure the reception room is ready for your entrance (all candles lit)  
  • Direct guests to the dining area  
  • Attend the place card table and guide guests into the reception  
  • Organize the line-up for the grand entrance and cue the MC  
  • Make certain you and your family have everything you need at the reception  
  • Oversee and ensure all formalities at the reception run seamlessly  
  • Inventory and pack ‘all’ wedding accessory items and route to designated place  
  • Bid you goodbye… and to have a great time on your honeymoon!​
